A web agency should not tell a business that its website is outdated or losing sales without supporting evidence. A simple site may serve the business well, and a complex feature set may be unnecessary. New-client outreach starts with a defined service and an honest reason to discuss it.

The hypothetical example is a web agency offering product-information and inquiry websites to industrial component manufacturers in Busan. E-commerce and membership systems are excluded. Outreach supports business discovery and contact records. The agency establishes the actual need, content scope and commercial terms in conversation.

What does Outreach do for a web agency’s sales process?

Outreach connects public business contact discovery with a reviewed proposal campaign. For the Busan component example, define the site’s purpose: product information and inquiry guidance. A collected manufacturer is not a confirmed website buyer. Prepare included pages and excluded functions, review recipients and ask whether they want an outline. Search conditions are not website requirements. Outreach does not build the customer’s site or verify buying intent. Design, development, acceptance and handover remain the agency’s own service responsibilities.

Outreach connects business discovery, public contact collection, list review, email sending and response records inside a project. Keyword groups can hold a country, region, common search terms and a target. The service finds published business contacts; it does not guarantee a named decision-maker’s private email address.

Which manufacturers fit this website offer?

Look for genuine industrial component manufacturers with a relevant product-information context. Distributors and articles about factories may need different offers. A published product range helps establish what content could be organized, but failure to find a website is not proof that none exists. A business with a site may need content updates rather than replacement. Confirm its current use and desired changes in conversation. If you offer translated pages, explain the actual translation and review scope instead of assuming an export requirement that public information does not establish.

How do you choose manufacturing keywords and geography?

Use the prospective client’s products and activity in the search: industrial component manufacturer, metal parts manufacturer or machinery parts maker, with appropriate Korean terms and Busan geography. Searching for website production finds agencies. If content gathering needs visits, choose an area you can serve. Remote work still requires a real content transfer and review process. Expanding geography is an operating choice, not evidence that businesses elsewhere have identical website needs. Inspect whether the results represent manufacturing, distribution or another role.

Use the Keyword section in the Collect tab to define the search and request the list. Give each geographic group conditions that match where you can actually deliver the offer. A project can contain groups for different countries. Similar search terms do not mean identical purchasing needs, so qualification continues after collection.

Which fields are needed to send a website outline?

Require Email for a written outline and add other fields only for planned use. A manufacturer’s general inbox is not guaranteed to reach a purchasing or communications manager directly. Ask for an appropriate route when the role is unknown. Buy Phone if you will conduct calls, recognizing that Outreach does not make them for you. A manufacturer without Instagram may be entirely suitable here, so an Instagram requirement is unnecessary. Understand which businesses a required field excludes and do not treat a published contact as agreement to a sales consultation.

For Email, Phone, Instagram handle and LinkedIn, choose Skip, If available or Required. Every required field must be present; a missing optional field alone does not exclude a business. Skip means you do not purchase or receive that field. Each received contact field costs 1 credit, so purchasing both an email and a phone number costs 2 credits for that business.

How should you review an existing website?

Base the review on what you actually saw: product organization and inquiry guidance. Products spread across several pages can justify a question about content structure, not an assertion that visitors abandon the site. Without client data, you do not know revenue or inquiry conversion. Even a mobile check does not prove every unseen function is deficient. In the review file, distinguish industry, published site, observed purpose and unknown requirements. Do not assume an existing maintenance contract. Review establishes relevance; it is not a pretext for insisting on replacement.

Start collecting gathers candidates for review in Collection results. Keep only suitable businesses in the sending list. Download to Excel produces an Excel-compatible CSV; fields you did not purchase stay blank. A colleague can review the exported file and flag unsuitable businesses.

What scope belongs in the first website proposal?

State the site purpose, required client materials and excluded functions. For example:

Subject: Product-information website scope for {company_name} Hello, we build product-information and inquiry websites for manufacturers. We would like to introduce a scope for organizing industrial component information and contact routes. If you are considering a new site or content reorganization, may we send an outline? We would discuss availability of product photos and specifications first. E-commerce and membership systems are excluded.

Do not guarantee rankings, inquiries or revenue, or assume the client has already prepared every document.

In Write your message, {company_name} in the subject or body becomes the recipient business’s name. You can save first-contact and follow-up copy. Substituting a name does not establish familiarity with a business. Avoid asserting an unverified revenue figure, staffing problem or current supplier relationship.

Before sending, connect your own mailbox in Settings → Connect email and save your settings. Follow the provider-specific instructions shown there, then send a self-test to your own inbox. Use the account that will handle replies to this campaign.

What website conditions should you check in the self-test?

Check that scope and content responsibilities are readable in your own inbox. Explain whether the client supplies photos and specifications or whether separate work is needed. Verify both authorship and publication rights for portfolio links. Use a real contact route rather than an invented booking page. Ensure name substitution does not suggest a completed site audit. The reply handler should be prepared for questions about features, maintenance and content approval. Remove leftover instructions and any delivery timeframe that you cannot support before contacting businesses.

Use Preview, then Send yourself a test first to receive the message in your own connected inbox. Check the company name, links, sender details and reply route. A self-test is not an ordinary paid prospect campaign or a way to collect actual customers. Receiving it yourself does not establish delivery to another business.

How do you separate outreach timing from delivery capacity?

Being able to send proposals does not increase the number of sites you can build simultaneously. After a manufacturer replies, establish pages, content readiness, approval responsibility and the desired schedule. Do not book delivery time around an assumption that every contact becomes a client. Changing email timing does not create production capacity. Respect stop-contact requests and never reuse another client’s private requirements in a general proposal.

An email costs 2 credits. The sending gap and daily limit are adjustable, with randomized timing available, so do not assume an entire batch goes immediately. Buying a phone field provides a number; it does not make Outreach place calls.

A published address is not consent to marketing. Check the recipient country’s requirements for consent, advertising identification, sender details and opting out before sending. See KISA’s guidance for Korea and the FTC’s guide for the United States. An advertising label alone does not authorize every unsolicited message.

What comes after a reply, before a website contract?

Track material requests, requirement discussions, quotes, agreements and production starts separately. Clicking a portfolio link is not a decision to commission a site. If the manufacturer asks about pricing, establish pages, functions, content supply, approvals and maintenance terms before quoting. Do not present clicks or replies as contracts or completed websites. Keep actual agreements in your own delivery records and contract documents. A manual reminder for non-responders can briefly restate the site purpose, while businesses already discussing requirements should receive answers to their specific questions.

Confirm product categories and specification readiness before arranging pages. Establish responsibility and rights for photos, drawings, trademarks and copy. For replacement work, verify domain management with the client without requesting passwords in the first sales reply. Agree on review screens, revisions, acceptance and maintenance responsibility. If an inquiry form is included, establish where inquiries go and who handles them. Distinguish completed delivery from the client’s actual use of the website.

In Already sent, use Sent filters for the last 7, 30 or 90 days, send count, Clicks and reply status to narrow a manual follow-up list. Send selected businesses separate Follow-up message copy. Review delivery failures before contacting again. A failure record does not automatically retry an email.

How do you keep the first web-agency project manageable?

Start with one industry and one website purpose that you can review personally. In the Busan example, confirm genuine manufacturing activity and relevance to a product-information site. If results are mostly retail shops, revise the terms before increasing the target. A small target is your chosen review scope, not a market-size claim or contract forecast. Plan credits for fields and sending together. After the run, record changes needed in qualification, wording and reply handling. The following calculation explains costs without predicting a commissioned website or a revenue outcome.

You receive 100 free credits on signup, with no monthly subscription. Hypothetically, purchasing 30 email fields and sending 30 emails costs 30 plus 60, or 90 credits. That is arithmetic, not a promise that 30 matching businesses will exist or that every email will be delivered.
